BP-Docs puts it in the context it belongs to: the entry point is the customer journey, and each lifecycle stage carries the workflows and forms behind it. From there you open a process as a BPMN model and see, step by step, what it does, down to the property that triggers it. In the end the documentation leaves the tool again, as a file.

BP-Docs never receives your customers' data

To understand how your portal works, nobody needs to know who is in it. BP-Docs therefore only gets the blueprint, never the people and companies in your CRM, and not because of a setting, but because the system is built that way. The GDPR requires processing only what the purpose needs. BP-Docs goes one step further: what never arrives cannot leak. BP-Docs also never receives the activities of individual employees, such as calls, meetings or edited deals, so the tool cannot be used to monitor performance.

What is BP-Docs?

BP-Docs is a web application that documents a HubSpot portal from its configuration. BP-Docs shows every workflow as a process model in BPMN 2.0. It adds the data model, the lifecycle and an inventory of many other objects.

Does BP-Docs read customer data from HubSpot?

No. BP-Docs only reads the configuration of a HubSpot portal: objects and fields, pipelines and stages, workflows and forms, lists and other assets. BP-Docs does not receive contacts, companies and deals, submissions and list members, emails, notes, files and marketing content, personal data and activities of individual employees.

Does BP-Docs change anything in a HubSpot portal?

No. BP-Docs has read-only access. The connection runs through the customer's own private app. The customer decides which permissions BP-Docs gets.

Where is BP-Docs hosted?

BP-Docs runs in Germany, on cloud servers hosted by Hetzner. BP-Docs is operated by CogniCore IT Solutions GmbH. Hetzner only provides the servers.

How much does BP-Docs cost?

BP-Docs costs €249 per month and HubSpot portal, plus VAT. The number of users is not limited. The Audit & Compliance add-on costs an additional €100 per month.

How current is the documentation from BP-Docs?

The first scan by BP-Docs is done within five minutes at most. After that, BP-Docs rebuilds the documentation automatically every night.

Which formats does BP-Docs export?

BP-Docs exports processes as a .bpmn file in the BPMN 2.0 format. BP-Docs exports the whole documentation as an HTML report and as Markdown. BP-Docs exports diagrams as PNG and SVG.

What does the Audit & Compliance add-on of BP-Docs include?

The add-on stores every state of the documentation as an OpenPGP-signed commit in a Git repository. The Git repository belongs to the customer. The add-on includes a daily and diff view of configuration changes. The add-on includes an auditor role that can only read. With the add-on, a customer can show how a portal was configured on a given day.

Is there a free way to start with BP-Docs?

Yes, the Self-Check. The Self-Check is a free self-assessment of the HubSpot setup and takes about 10 minutes. The result is then available in BP-Docs free of charge. Access to BP-Docs is sent by email. The documentation of the customer's own portal is set up after a conversation. CogniCore creates the project. The customer then connects their portal in guided steps.
